Estates
Main purpose of job:
The Estates Officer is a key role in the effective management of the British High Commission(BHC) office and the residences it uses to accommodate UK based staff. It is important that the post holder provides strong support to the Estates Manager in the management of the estate and in accounting for expenditure incurred in its maintenance.
General responsibilities
  • Day to day supervision of the maintenance team
  • Support to resolve Health & Safety issues
  • Data logging of utility usage
  • Building and maintaining good relationships with suppliers
  • Keeping the Estates database (Pyramid) records up-to-date
Office Management
Managing the repair by the maintenance team of basic office fixtures, furnishings and basic equipment and of office supplies (e.g. stationery, business cards, printing, etc)

Residential management
  • Act as the main link between the UK based staff and the maintenance team or external suppliers of services.
  • Receive maintenance requests, seek approval as appropriate for action from the Estates Manager or Corporate services Manager, then ensure the works are undertaken within agreed timetables, or report back to the line manager if deadlines cannot be met for any reason.
  • Keep a clear record of requests and completed actions for the Key Performance Indicator requirements.
  • With others, complete annual inspections of residential properties, with additional checks just prior to the departure of the residents.
  • Maintain the asset registers for each property, checking and agreeing them with the incoming and outgoing residents.

Financial Management
Process and pay costs related to corporate services (estates) provided for FCO or by FCO to DFID, including indirect costs where these are incidental and clearly related to the corporate service:
  • Raise requisitions following set procedures, using accurate data for goods and services under £25,000 in value
  • Receipting goods and services for the purchase orders produced by the above
  • Assisting with reconciling

Other duties
Assistance with organising corporate events organised at the Tamarind Club, the Residence or other local sites
Provide cover for the other A2(L)s in CSU

Resources managed:
Line management of four(4) Estates and Maintenance Staff and three(3) Gardeners
Essential: Computer skills (particularly Word and Excel), driving skills with a valid licence (applicants may be tested by BHC staff as part of the selection process)
Desirable: Technical awareness and skills would be helpful, but more important is the ability to be well organised and to communicate well to UK based and local staff colleagues, and also to service providers. Awareness of Health and Safety, though training can be provided if necessary.
